How we handle personal data.

This notice explains what personal data Marsden Hale holds, why we hold it, and the lawful basis for doing so. It covers two distinct groups: the company information we compile from the public register, and the details of accountants who enquire with us or become customers.

Who we are

Marsden Hale is a trading name of [YOUR FULL NAME], a sole trader based in the United Kingdom, who is the data controller for the personal data described in this notice. We are registered with the Information Commissioner's Office (registration number [ICO NUMBER]). The company information we compile

We compile information about UK companies and LLPs from the public Companies House register in order to identify those filing their own accounts ahead of a filing deadline. Where this information relates to an identifiable individual, for example a director or a sole point of contact, it is personal data and the following applies.

What we collect and where it comes from

Company name and number, filing dates and deadlines, registered details, and information drawn from the accounts a company has itself filed. All of it is sourced from the public Companies House register.

Why we use it, and our lawful basis

We process this information for our legitimate interest, and the legitimate interest of the accountancy practices we supply, in identifying businesses that may need professional support before a deadline (UK GDPR Art. 6(1)(f)). This basis is supported by a documented Legitimate Interests Assessment.

Retention, objections and erasure

We keep this data for up to 6 months from when it was last refreshed, after which it is deleted automatically; we delete it sooner on a valid request. Anyone who objects to this processing is suppressed at source and is never re-supplied. We do not contact the companies in our data ourselves, and the data is stored in the United Kingdom with no international transfer.

If you enquire with us or become a customer

This section covers personal data about accountants and their firms who contact us, for example via our “Request territory availability” form, or who subscribe to our service. It is separate from the company data described elsewhere in this notice.

What we collect

Your name, firm or practice name, work email address, the postcode area(s) you are interested in, and anything else you choose to tell us; plus, if you become a customer, the information needed to administer your subscription.

Why we use it, and our lawful basis

  • To respond to your enquiry and follow up about our service (for example, to confirm territory availability or send terms). Lawful basis: our legitimate interest in responding to and pursuing a business enquiry you started, and/or taking steps at your request before entering a contract (UK GDPR Art. 6(1)(b)).
  • To provide and administer your subscription if you become a customer. Lawful basis: performance of our contract with you (Art. 6(1)(b)).

We will not add you to a marketing list or share your details with third parties without your consent. Enquiries submitted through our website are delivered to us by email using a third-party email provider acting on our instructions.

How long we keep it

Enquiries that do not lead to a sale are deleted within 12 months. Customer records are kept for the duration of the contract and up to 6 years afterwards for tax and business-record purposes.

Your rights

You have the right to access the personal data we hold about you, to ask us to correct or erase it, to object to or restrict our processing, and, where applicable, to data portability. To exercise any of these, email privacy@marsdenhale.co.uk.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk. We would ask that you raise any concern with us first so we can try to put it right.
